Procedure for issuing a teaching assignment

Information on the study programs

Lecturers teach individual courses in our regular degree programs. The faculty currently offers nine degree courses, including four Bachelor's, two Master's and three continuing education courses. Each course is represented on the faculty's homepage with its own website.

An essential structural feature of all FAS degree programmes is the modularization of the course structure. A module is a complete study unit in terms of content and is managed by the person responsible for the module as specified in the module handbook. Many modules are completed with a written examination, while other modules are completed with other forms of examination. These include presentations or term papers. 

Recruitment of a teaching assignment

The person responsible for the module will contact you and ask whether you would like to take on a teaching assignment for the coming semester. Alternatively, you can contact the Dean's Office of the Faculty if you are interested in taking on a teaching assignment.

Confirmation and planning of the teaching assignment via the Lecturer Portal (LB-Portal)

The person responsible for the module forwards the acceptance to the Dean's Office of the faculty and you will receive an e-mail with the important information at the beginning of each semester.


In order to be issued with a teaching assignment, you must enter your personal data in the LB-Portal and submit one course for each teaching assignment per semester. You must therefore log in to the LB Portal, for which purpose we have created a short guide to using the LB Portal. In the download area of the LB portal you will find the information sheet for lecturers with further information.

For the planning of each new semester, lecturers must “submit” a course offer, in which concrete date proposals (weekday, date & time) and a brief description of the course must be given. When planning the dates for the courses, there are a number of things to consider, such as the lecture period, the number of hours per week in the semester from which the number of dates is derived and the necessary “slot-compliant” scheduling. Please refer to the scheduling guidelines for a detailed description.

Issuing the teaching assignment

The creation and dispatch of the teaching assignment is carried out by Hochschulservice Personal (HSPE). As a lecturer, you are, as the name suggests, an authorized representative, i.e. you receive an order - a so-called unilateral declaration of intent on the part of THWS. Therefore, no signature is required on your part for the contractual relationship to come into effect. By submitting the course in the LB portal and confirming it by clicking on the “Save and submit” button in the LB portal, you agree to the apprenticeship contract. 

Course planning and room allocation

As soon as the course planning has been completed, the course schedules will be linked semester by semester on the website of the respective degree program and you can call up your course dates and, if applicable, the assigned rooms there. Please check the booked course dates now.

Lecture halls are allocated centrally at the time the course schedules are published. This is primarily based on the number of participants stated and not on what the room is needed for. It sometimes happens that there is no room allocation for individual courses at the beginning or that the room is not suitable for the purpose. Your patience is required here, as the dean's office team will promptly remedy the situation. 

The situation is different for the allocation of rooms without windows or rooms in the pavilion. The university only has a limited number of rooms that are shared by all faculties. It can therefore happen that the allocated rooms are the only free rooms for the time slot. It is not always possible to find a different solution, so we ask for understanding, as this affects all teaching staff equally.

Further information

When scheduling your courses, there are a number of things to consider to ensure that the course schedule complies with the given framework conditions and that you can obtain a lecture hall of the appropriate size and equipment for your course.

  1. Lecture period/lecture-free periods: You can only plan your courses during the lecture period. Special solutions are possible in individual cases. You must also take lecture-free periods into account. The academic calendar of the respective semester provides information on this.

  2. Semester hours per week/number of dates: A certain number of semester hours per week (Semesterwochenstunden = SWS) is prescribed for each module. Accordingly, you must plan your appointments to the specified extent.

    1 SWS comprises up to 16 teaching units.
    One teaching unit corresponds to 45 minutes. You must plan at least 14 teaching units per one SWS and can charge a maximum of 16 teaching units for one SWS.

    The person responsible for the module will provide you with information about the number of SWS.

  3. “Slot-compliant” scheduling: When choosing your dates, please make sure that you select them according to the time slots applicable at the university.
    These are:

    08:15 – 09:45                 1st & 2nd lesson
    10:00 – 11:30                 3rd & 4th lesson
    11:45 – 13.15                 5th & 6th lesson
    13:30 – 15:00                 7th & 8th lesson
    15:15 – 16:45                 9th & 10th lesson
    17:00 – 18:30               11th & 12th lesson
    18:45 – 20:15               13th & 14th lesson

    As these times are binding for lectures and seminar-based teaching, there will be overlaps with other courses in the event of deviations. In this case, however, the lecture halls cannot be used effectively when booking rooms for face-to-face courses because they are still occupied due to the deviating dates.

Can I communicate the dates by other means than the LB portal?

Yes, especially if you have already submitted your course and the scheduling has not yet been completed. Please send an e-mail with your preferred dates, stating the day of the week, date and time to the FAS Dean's Office (e-mail: dekanat.fas@thws.de).

I have already agreed the dates with the person responsible for the module. Do I still have to notify them again?

Yes, please enter the agreed dates either in the LB-Portal or send them by e-mail to the Dean's Office of the FAS (e-mail: dekanat.fas@thws.de).

Students earn credit points through examinations (ECTS = European Credit Transfer System). The Bachelor's degree courses have a scope of 210 ECTS, the Master's degree courses 60 or 90 credit points. One credit point corresponds to a workload of 30 hours and is made up of contact time at the university and self-study time.

The amount of self-study in the respective modules can be found in the module handbook and, taking into account the other courses in the module, provides an indication of how much self-study time you can expect from the students for your course.

Students can find information on the individual courses in the linked course schedules on the FAS website after completing the scheduling process. For this reason, it is particularly important that course times and locations are shown correctly on the website. To ensure this, we need your help. In particular, you should check the course schedules for correctness and completeness.

Once the course planning has been completed, you can access the course schedules on the faculty website (Studies -> Programmes -> select Programme -> Study planning -> Course schedules summer/winter semester). Directly to a specific programme (partly in German online):

Please check the course data you have entered for completeness and accuracy before the start of the semester and inform the Dean's Office if you find any discrepancies.

Please also check during the current semester on the evening before your course in which lecture hall it is booked, as the lecture halls are used by all faculties and rooms may be rebooked at very short notice (due to illness, cancellation, etc.).

Everything related to the courses

Students can find information on the individual courses in the linked course schedules on the FAS website once they have completed the scheduling process. For this reason, it is particularly important that course times and locations are correctly indicated on the website.

The actual organization of teaching is the responsibility of the lecturers and depends heavily on the type and content of the respective course. It is also essential to take into account the technical framework conditions and limitations (hardware requirements, data transmission capacities, etc.). Please discuss the design of the course with the module coordinator responsible for the course. Information on the module coordinator can be found in the relevant module handbook on the degree program website.

Further information about the courses

Yes, please inform us in writing by e-mail of any changes to the dates so that these can be passed on to the students and taken into account in the lecture hall planning. Please send an e-mail to the Dean's Office: dekanat.fas[at]thws.de. For last-minute changes, please contact us by telephone at +49 931 3511– 9202.

In order to enable students with family responsibilities (child and care responsibilities) in particular to plan better, please aim for long-term scheduling and make sure that you are committed to keeping your appointments.

The current room occupancy can be viewed via the THWS online info board. You can also look up the room for your course at short notice. In most buildings there are also information boards.

The list of participants for your course will be sent to you by e-mail as soon as the course selection for the individual events has been completed.

There are two options here:

  • Teaching in the area of specialization: the list is normally sent by the person responsible for the module in the area of specialization.
  •  Teaching in other modules: the dispatch is carried out either by the dean's office team (dekanat.fas[at]thws.de) or by the course selection team (koordination.fas[at]thws.de)

Only your LB e-mail address will be used for sending. Please be sure to activate your account and check your THWS mailbox regularly.

The respective examination regulations indicate whether attendance is compulsory for the courses in the module in question. Please consult the person responsible for the module.

In principle, instead of copied worksheets etc., appropriate alternatives should be used, such as uploading a template for this in the corresponding e-learning course room or using the Visualizer to avoid copying in large quantities. It is possible to use the devices for a few copies.

Flipchart paper and pens for the whiteboard and flipchart are provided. It is also possible to borrow a presentation case.

Please contact the FAS Dean's Office by e-mail for further information if required (dekanat.fas[at]thws.de).

If you are planning fee-based events for or with students as part of your teaching assignment or events that incur costs (travel costs or other costs, e.g. entrance fees), this must be indicated and discussed with the person responsible for the module in advance of the teaching assignment with a corresponding cost breakdown.

Once the individual case has been examined, costs can be approved. However, there is no guarantee that costs will be covered.

If you set an examination or part of an examination, you can clarify the procedure with the person responsible for the module. In this case, your tasks also include taking over the supervision of the examination and allowing the examination to be viewed after the examination.We would like to inform you that the examination results must generally be submitted to the person responsible for the module no later than two weeks after the end of the examination period.

Examination documents must be kept by the respective faculty for two years. Please hand in examination documents in paper form to the Dean's Office or discuss the form in which you can hand over digital examination documents.

You will be asked by the Dean of Studies to evaluate your teaching every semester. According to a resolution of the Faculty Council, you are obliged to evaluate every course every three years and to carry out at least one teaching evaluation every year. Organizational support for teaching evaluations (e.g. setting up an online evaluation) is available from the Dean of Studies (vera.taube[at]thws.de) or her assistants.

The lecturers at THWS, certified as a family-friendly university, have to implement family-friendly teaching. Students are therefore generally permitted to bring children into lecture halls and seminar rooms. However, there is no statutory accident insurance cover. At the THWS locations, there are appropriate rooms for parents with children or pregnant women to retreat to. Lecturers also grant students with family responsibilities low-threshold deadline extensions (e.g. for homework).

Copyright regulations must be observed when preparing teaching slides and other materials. You can find a compilation of FAQs on copyright law on the THWS website (in German only).

We would like to point out that student data (lists with e-mail addresses, grades, matriculation numbers, etc.) are personal data that may not be passed on to third parties. Comprehensive information on data protection can be found on the THWS Information Security and Data Protection website (in German only).

Organizational matters

As soon as the teaching assignment has been issued, you will receive your personal THWS account and access to the university services.

As soon as your teaching assignment has been created, you will receive your lecturer account overnight or your previous account will be extended.

In the LB portal, this assigned LB e-mail address will then appear on your start page next to your private e-mail address and a blue field with the LB designation lb + surname + any additional information, this is your user name.

To be able to use the systems such as e-learning, you must change your password in the portal.
To do this, click on your name at the top right after logging in and a corresponding field will appear. Change your password there and close the portal. Now wait approx. 15 minutes and then you can log into the systems such as e-learning with the account lbnachname (the blue field with the LB designation) and the password you have changed. You will have access to the systems at the latest 2 weeks before the start of the semester with an existing teaching assignment.

Courses at the FAS mainly take place in the main building, Münzstraße 12. However, for certain courses and when space is limited, other THWS buildings are also used for courses. An overview of the university buildings with directions can be found on the general THWS website.

The THWS in Münzstraße consists of an old and a new part of the building. The main entrance is in the old part of the building. This has the special feature that you start counting at level -1 instead of the ground floor. This means that the next highest level is level 0 and the actual 2nd floor is level 1. In addition, the centre staircase only takes you to level 1. The outer staircase must be used for the higher floors.

There are corresponding letter abbreviations for the individual rooms, which are made up as follows:
A letter for the building location, for example M for Münzstraße, followed by a number for the respective level on which the room is located, for example a 1 for level 1 and then the corresponding room number - here room 07 => M.1.07.

The seminar rooms are equipped with a projector and audio system with HDMI and VGA connection as standard. There may be deviations in some lecture theatres (pavilions and M 4.10). The sound for HDMI is included, for VGA a jack plug must be used. Adapters for the HDMI connection are not available on site.

The projectors should be switched off after use. If you have problems with the building services, you can request help via the function telephone number 0931-3511-6201 from Monday 8:00 to Friday 12:00 or contact the staff in room M -1.19 directly. The technical centre is not staffed at weekends. However, it is possible to send an e-mail to hsgm[at]thws.de so that the problem can be resolved before your next appointment.

As a LB, you will receive a key card to be able to use the THWS rooms for face-to-face events. This card has locking authorisations.

You must collect the THWS Card from the Dean's Office, as you must sign for receipt. Please contact the Dean's Office in good time before you start your course and note the Dean's Office opening hours. Individual appointments for collection are possible on request.

The instructions for using the THWS key card contain further information on how to use it.

In order to be able to use the THWS Card to its full extent (also as a payment card), it must be validated at a validation machine at the beginning of the semester:

It is not necessary to return the THWS Card. Please keep the card for future teaching assignments, it can be reused.

You will receive an LB e-mail address with your teaching assignment. This will then appear in the LB Portal to the right of your private e-mail address.

An account is also linked to this LB e-mail address. You must activate this account at the start of your teaching assignment, as all communication will take place via this account. You can access the mailbox via webmail by entering your account lbnachname and the changed password.

You will only receive important information such as participant lists for your courses to this e-mail address.

You have several options for WLAN access in the university buildings:

E-Learning@THWS (https://elearning.thws.de) is the digital learning and teaching platform of THWS. It is used by all faculties and degree programs for various tasks within teaching, including

  • Communication with students via e.g. a forum, direct messages, chat
  • Providing work material, scripts and multimedia material
  • Receiving assignments from students and giving feedback
  • Conducting surveys, tests and votes
  • Direct linking of different face-to-face courses with digital media via various learning concepts (blended learning, flipped classroom, etc.)
  • Provision of teaching videos and lecture recordings via Opencast plugin
  • Access to or integration of courses and content from the vhb (Virtual University of Bavaria)
  • and much more....

The digital learning and teaching platform plays an important role in teaching and communication at THWS. It is therefore important that you register there after receiving your teaching assignment and actively use the platform.

After consultation with the data protection officers, the elearning courses will be hidden from the summer semester 2024 and provided with a course key. In your role as a lecturer, you can view and edit the courses. However, you must activate the courses for students so that they can see the course and register for it.

This works in two steps:

  1. make the course visible

    To do this, go to the "Settings" tab in the course. Then set "Display" under "Course visibility". 

  2. manage or change course key

    For an explanation of how to do this, please refer to the Instructions change enrollment key

You can use room M.2.09a in Münzstr. 12 for your preparation or during the breaks.

The Mensa am Studentenhaus is within walking distance of the main building at Münzstraße 12. Here you can top up your THWS Card with money and pay with it. Cash payments are also possible, but at a slightly higher price. The opening hours and further information can be found on the Studierendenwerk website.

There is a cafeteria in the main building at Münzstraße 12 where you can buy coffee, drinks and snacks.

As a lecturer, you can use the THWS library and borrow books with your THWS Card. The library is located in the Sanderring 8 building on the ground floor. You can find out more about the services on the library website.

The billing process for lecturers has been running via the LB-Portal since April 2024. The individual steps are visible to you in the portal as a status and you are informed about the current processing status.

The invoice for your course must be submitted by 29 September for the summer semester and by 14 March for the winter semester. An explanation of how to proceed can be found in the instructions for invoicing teaching assignments (German only).

Please note: Lecturers require a German tax ID (identification number (IdNo)) for accounting purposes. You will usually receive a tax ID after registering with the residents' registration office in Germany. Further information can be found on the website of the Federal Central Tax Office. Non-registered foreign nationals with income in Germany should contact the relevant tax office to obtain a tax ID. Please also find out about the regulations on double taxation between Germany and the country in which you are currently working.

As a Bavarian lecturer, you can take part in the training events of the BayZIEL-University Didactics Centre.

The dean's office (dekanat.fas[at]thws.de) must be contacted in advance to clarify whether the faculty will cover the participation fee. Travelling and accommodation costs are to be borne by the participants themselves.
